When something unexpected happens on campus, whether it involves property damage, an injury, or an event that disrupts school operations, a clear set of next steps helps your school return to normal sooner. Here are five tips for managing a school insurance claim.

    1. Protect people first

Student and staff safety comes before property. Call emergency services if necessary, and address anything that creates an imminent threat, such as a downed electrical wire or a leaning fence. Secure the area where the incident occurred so students and others stay clear.

    2. Understand your policy

Review the scope of your coverage before you need it. A few questions worth answering:

    • Does your policy include business interruption coverage?
    • Does it include public relations counsel?
    • Which exclusions apply?
    • What is the process for filing a claim?

    3. Call the insurance company as soon as possible

Many insurers ask to be notified right away, even when a situation may not turn into a claim. Your insurer can also connect the school with resources it may need. After a broad-scale event such as a wildfire or hurricane, reporting damage early helps your claim get processed sooner.

    4. Gather documentation of the damage

Take extensive photos or video of injuries, damage, and hazards. Make sure the school's incident report includes the date, time, location, people involved, and witness statements. Collect police or fire reports where they apply, and confirm the claim form is completed and signed before you submit it.

    5. Designate a staff liaison to coordinate with adjusters

Along with phone conversations with your insurer, an adjuster will visit campus, and you may also speak with experts such as engineers and architects. Choose one person to serve as the liaison, and ask them to document every call, email, and interaction.

    Prepare Before You Need It

Clear procedures and open communication with your insurance provider help your school move through the claims process with less disruption. With those in place, your team can keep its attention on supporting students, staff, and the school community.
